Mentorship of Archives in the Faculty of Agriculture by the Universitas Sumatera Archives Office in 2024

Archival Mentorship activities organized by the Universitas Sumatera Utara Archives Office were carried out in the Meeting Room of the Main Building Lt. 2 Faculty of Agriculture USU (Tuesday, 25/6/2024).

 

This activity was carried out to follow up on the National Movement for Orderly Awareness of Archives and provide assistance in archive management to all staff and officers related to archives or administration so as to realize better archive governance and the collection of archive memory in the faculty.

 

This activity was attended by the Vice Dean II of the Faculty of Agriculture of USU, the Head of Administration, and representatives of the relevant Archives Management Education Personnel from each unit and Study Program at the Faculty of Agriculture, Universitas Sumatera Utara. The speakers who provided material in this mentorship activity were Aisyah, S.E., M.Si as Head of the USU Archives Office, and Raisa Dwi Safitri, S.S.I as the Acquisition Section of the USU Archives Office.

 

The material presented by the speakers discussed dynamic archive management at the Universitas Sumatera Utara. Dynamic archives are archives that are directly used in daily activities by their creators and are kept for a certain period of time. Dynamic archive management involves controlling these archives efficiently, effectively, and systematically in terms of the process of creation, use, maintenance, and depreciation of archives.

 

The main objective of dynamic archive management is to ensure that archives are available as performance accountability materials and valid evidence in carrying out the functions and duties of higher education institutions. Archives are not created specifically but are created automatically as evidence of the implementation of administrative activities or transactions.

 

The existence of archives describes a collection of information from implementing administrative activities or transactions that need to be organized. Therefore, an archive manager must also master storage techniques, equipment, and archive security, especially at the USU Faculty of Agriculture. Hopefully, the implementation of this mentorship activity can increase the awareness of all elements of the academic community within the USU Faculty of Agriculture about the importance of managing, saving, and caring for archives at the USU Faculty of Agriculture.
