Technical Guidance on Correspondence and Official Letter Drafting at the Faculty of Agriculture, Universitas Sumatera Utara, with expert speakers providing training on effective letter writing according to Indonesian language rules.

Medan – FP USU: A Technical Guidance on Correspondence and Official Letter Drafting was held at the Main Meeting Room of the Faculty of Agriculture, Universitas Sumatera Utara, on Thursday, June 22, 2023.


This technical guidance aimed to provide training and understanding to all academic administration staff in drafting and writing official letters correctly and in accordance with the rules and spelling of the Indonesian language. In addition, at the end of this training, a review and problem-solving session regarding the E-Office application that has been running at the Faculty of Agriculture was also conducted.

 


The event brought in expert speakers in the field, namely Dr. Dwi Widayati, M.Hum (Head of the Indonesian Literature Department, FIB USU), Mr. Eddy Siregar, S.Si, and Fariz Arifa Nugraha (Staff of USU Secretariat). The event was also attended by the Administrative Head of the Faculty of Agriculture, Mr. Ahmad Faizul, S.E., M.Si, who officially opened the event with his welcoming remarks.


“The sentences used in official letters must be effective and concise. They should also have meaning and substance,” explained Dr. Dwi as she began her presentation.


Correspondence refers to the process of letter writing conducted by an individual to another party, with the letter being sent to individuals, organizations, or companies. Official letters must be based on the letter drafting guidelines that have been established. These guidelines include the organization of written communication, covering the type, format, preparation, security, validation, distribution, and storage of official letters, as well as the media used in official communication.


Mr. Eddy Siregar, S.Si, and Fariz Arifa Nugraha, in their presentations, provided numerous examples of errors in official letters and offered corrections on how to write official letters accurately and in accordance with established letter drafting rules. At the end of this session, technical guidance on the E-Office application, which has been running at the Faculty of Agriculture, was also provided. This E-Office service aims to simplify the electronic management of letters, improving the efficiency and effectiveness of public service at USU.


The event was carried out smoothly and successfully. The discussion sessions were enthusiastic and interactive, with active participation from the attendees. The event took place from 08:00 AM to 04:00 PM WIB in the Main Building of the Faculty of Agriculture, Universitas Sumatera Utara. It is hoped that, following this event, the official letters produced and circulated by the Faculty of Agriculture will adhere to the correspondence standards and Indonesian language letter drafting rules shared by the experts during this technical guidance session.
